Introduction. KeyHIPS' privacy policy explains what happens with
your personal details and what measures we take to ensure that they are kept safe.
Information we collect. For us to provide you with a KeyHIPS Home
Information Pack, we need to gather some basic information about you that is relevant
to the compilation of your HIP. Amongst other things, this will include your name,
address and telephone number. In the case where you are providing KeyHIPS with information
about a 3rd party, i.e. a client, it is your full responsibility to ensure that
they are aware of and consent to the disclosure of their required details to KeyHIPS.
KeyHIPS will take no responsibility for acceptance of information provided by a
client.
Clients Information. KeyHIPS is committed to protecting the security
of the customer's (you) personal information and we will never wilfully sell, lease
or rent any of your personally identifiable information to any third party, unless
it is required by law or you have given us your consent. Any other material given
to us will be deemed non-confidential and non-propriety. We and our nominees will
be free to copy, distribute, disclose and otherwise use as we wish this information,
data, images, text or sounds, in any commercial or non-commercial way. If you wish
all your data be exempt from direct marketing, please notify us either electronically
to info@keyhips.com or via post to KeyHIPS' trading address.
If you as an Estate Agent or other Property Industry Professional provide information
to us on behalf of any third party such as your vendor, you are responsible for
ensuring they understand how the information will be processed. If you are taking
payment details on behalf of your vendor, it is your legal responsibility to ensure
they have access to our Terms and Conditions (please see www.keyhips.com). Please
be aware that by using the KeyHIPS website any user or viewer is bound by the KeyHIPS
Terms & Conditions and thus is legally responsible for all information provided
and later processed by KeyHIPS.
All information provided to us will be safeguarded in accordance with the rights
of data subjects under the Data Protection Act 1998.
What we do with the information. The personal information provided
by you is seen only by those who require it in order to fulfil their employment
duties of providing a service for you. During the compilation process of any HIP,
information provided by yourself to KeyHIPS is required to be passed on to third
parties. These third parties can include, but are in no way limited to:
• 'Domestic Energy Assessors' (external government-licensed) providing the EPC (Energy
Performance Certificates) for your property.
• 'Home Inspectors' (external government-licensed) providing the EPC or the Home
Condition Report for your property.
• The Land Registry providing records of the sale of your property.
• Local Councils providing local searches and enquiries regarding your property.
• Any other specialists providing extra searches.
Your personal data shall be processed in accordance with the rights of data subjects
under the Data Protection Act 1998.
Partners. Partnership companies related to KeyHIPS must all adhere
to a specific guideline of quality and assurance to insure you the customer receive
the best quality of service and the most secure.
Security. KeyHIPS does its utmost to ensure a high class security
system for all the information being passed through the KeyHIPS website. KeyHIPS
does not, however, accept any liability for information loss except for if it was
due to our own negligence.
Disclaimer. KeyHIPS does not guarantee the accuracy or validity
of the information and materials on this website. KeyHIPS cannot be held responsible
for any errors or omissions and accepts no liability whatsoever for any loss or
damage howsoever arising.
Changes to Privacy Policy. KeyHIPS reserves the right to update
and change this privacy policy from time to time. If this is the case, a privacy
policy update will be shown on the KeyHIPS website.
Accessing your information. You have a right of access to the information
held about you. To view the data held on you, you may be liable to a small fee,
known as 'subject access'. This will never exceed £10.
